Golden Nuggets

General information, not tax, legal or financial advice. Merchant codes are set by each merchant's processor, so your statement is the final word.

Golden Nugget pack2 min

Every business: 9 card nuggets

What suppliers can charge you, how they get coded, and the settlement that could change who takes your business card.

Grab it →
  1. The code is the store's biggest line, not your purchase. A merchant's code reflects its main business by sales volume, and its processor sets it. Printer ink bought at a hardware store earns like hardware.
  2. Same roof, different code. When a business inside another one has its own name, its own space and its own register, Visa requires it to carry its own code. The coffee bar inside the supermarket isn't grocery.
  3. A card-reader app still gets you coded. Payment facilitators have to look at every business they sign up and give it the code that fits. A shop on a phone reader is coded by what it sells, not by the app.
  4. A surcharge is credit only, and capped. Visa caps credit surcharges at 3% or what the merchant pays to accept the card, whichever is lower, and bans them on debit and prepaid cards. It has to sit on its own line on your receipt.
  5. Mastercard still allows 4%, for now. Mastercard's US cap is 4% or the merchant's cost, whichever is lower. The pending settlement would cut it to 3%.
  6. A real convenience fee is flat. Visa's rules say a convenience fee is one fixed amount, whatever you pay, for using an extra channel like phone or online. It can't be stacked on a surcharge or added to recurring payments.
  7. Government can charge service fees. Most suppliers can't. Visa allows a separate service fee only for utilities, schools, courts, fines, tax payments and government services.
  8. A dollar price can still carry a foreign transaction fee. If your card charges one, it can apply to a purchase from a merchant based abroad, even when you pay in US dollars. Check software and ad bills.
  9. Your supplier may soon be allowed to turn down business cards. A pending Visa and Mastercard settlement would let merchants decline whole card categories, business cards included. The final approval hearing is set for November 16, 2026. Nothing has changed yet.

General information, not tax, legal or financial advice. Merchant codes are set by each merchant's processor, so your statement is the final word.

Every business: 6 marketing codes

Ads, design, photos, video, print and stock media. One budget, six different codes.

Grab it →
  1. Ad buys have their own code. Visa defines Advertising Services as 7311: shops that create ads and place them online, in print or on air.
  2. Design shops are 7333, not 7311. Visa puts commercial art and graphic design services in 7333, separate from ad placement.
  3. Your photographer could be either of two codes. A portrait or wedding studio is 7221. Commercial photography for businesses is 7333.
  4. A video shoot can land in 7829. Visa lists TV commercial production under 7829, Motion Picture and Video Tape Production.
  5. Print splits two ways. A quick-copy shop is 7338. A commercial printer is 2741. Same flyer, different code.
  6. Stock photos and music are digital goods. Visa codes downloadable images, music and movies as 5815.

General information, not tax, legal or financial advice. Merchant codes are set by each merchant's processor, so your statement is the final word.

Golden Nugget pack1 min

Every business: 6 software and phone nuggets

The same license can code four ways depending on who sells it. Here's the map.

Grab it →
  1. The same license, different codes. A software store is 5734, an app seller is 5817 and a hardware distributor is 5045. It depends on who sells it to you.
  2. Mobile apps belong in 5817. Visa says sellers of mobile apps should use 5817, not the software store code.
  3. The giants have their own code. Digital goods sellers with at least 25 million transactions a year can use 5818.
  4. Hosting isn't software. Internet providers and website management sit in 4816. Software stores are 5734.
  5. Phones are 4812. The plan is 4814. Telecom equipment sales code apart from the monthly phone service.
  6. The laptop store and the distributor differ. An electronics store is 5732. A computer distributor is 5045.

General information, not tax, legal or financial advice. Merchant codes are set by each merchant's processor, so your statement is the final word.

Golden Nugget pack1 min

Shipping and mail: 3 nuggets

Labels, freight and storage. Three ways a box gets coded.

Grab it →

  2. USPS is its own code. Postage straight from the Postal Service is 9402. Visa's courier code excludes it.
  3. Storage you pay for is 4225. Public warehousing and storage has its own code.

General information, not tax, legal or financial advice. Merchant codes are set by each merchant's processor, so your statement is the final word.

Golden Nugget pack1 min

Fleet, fuel and equipment: 6 nuggets

Pump or counter, bulk or propane, gas or volts. How a fleet's fuel really codes.

Grab it →
  1. Pay at the pump or inside: two codes. Visa requires automated pumps to run as 5542. The register inside the same station is 5541.
  2. Bulk fuel at the yard isn't "gas." Delivered bulk fuel is 5172, Petroleum and Petroleum Products.
  3. Propane for the heaters is 5983. Propane dealers code with fuel dealers, not with gas stations.
  4. EV charging is its own code. Visa defines electric vehicle charging as 5552, separate from both fuel codes. A gas category may not count it.
  5. Rentals are their own category. Equipment, tool and furniture rental is 7394. Trucks and trailers are 7513.
  6. Tolls, parking and washes each have a code. Tolls 4784, parking 7523, truck and car washes 7542.

General information, not tax, legal or financial advice. Merchant codes are set by each merchant's processor, so your statement is the final word.

Golden Nugget pack1 min

Selling to businesses: 2 nuggets

When your customers pay with business cards, the data you send changes what you pay.

Grab it →
  1. Line-item data can cut your card cost. Visa's April 2026 rates show commercial cards with full line-item data at 1.75% plus 10 cents, against 2.70% plus 10 cents for a commercial card not present.
  2. Your processor has to send it. Enhanced data only reaches Visa if you supply it and your processor passes it on.

General information, not tax, legal or financial advice. Merchant codes are set by each merchant's processor, so your statement is the final word.

Golden Nugget pack2 Example1 min

Agencies: 3 Golden Nuggets

Media, creative and client money. What only an agency's statement shows.

Grab it →
  1. Your clients see you as 7311. Visa lists ad agencies under Advertising Services, so client payments to you carry the advertising code.
  2. Fronted media is your spend on the statement. Ad spend you pay for a client and bill back still lands on your card as yours. Agree on who carries it before the month closes. Example
  3. Run the big media buy right after close. A buy charged the day after your statement closes isn't due until the next statement's due date. Your dates will differ. Example

Golden Nugget pack1 min

Grab it →
  1. The same 2x4 can code three ways. Lumber yard 5211, home supply warehouse 5200, materials distributor 5039. Rewards follow the code, not the item.

Playbooks for every stage

A starting point, not legal, tax, HR or financial advice. State and local rules vary.

Playbook4 Example1 min

The owner's operating rhythm

Weekly, monthly, twice a year. The money habits that keep surprises small.

Grab it →
  1. Weekly: reconcile the cards. Ten minutes matching charges to receipts beats a lost Saturday at year end. Example
  2. Monthly: run the statement check. The 10-minute statement check catches surcharges, foreign fees and miscoded suppliers. Example
  3. Twice a year: re-read your card terms. Rewards categories and fees change. Your spending probably did too. Example
  4. Before any big purchase: check your close date. A buy right after the statement closes buys you the most time. Example

A starting point, not legal, tax, HR or financial advice. State and local rules vary.

Playbook5 Example1 min

Day one: set up the money right

Onboarding your own business. Five moves that save years of cleanup.

Grab it →
  1. Open the business bank account before the first invoice. Clean books start on day one. Commingled accounts are the most expensive habit to break. Example
  2. Put every business expense on business accounts. One card per purpose makes categories and rewards easier. Example
  3. Choose your statement close date on purpose. Line it up with when your biggest bills land. Example
  4. Decide who can spend before anyone can. Write down who gets a card, the limit and who approves. Example
  5. List your top suppliers and their codes. It's the map for every card decision after this. Example

A starting point, not legal, tax, HR or financial advice. State and local rules vary.

Playbook2 Example1 min

The first 90 days

Two habits for the first 90 days: your real codes, and every date in one place.

Grab it →
  1. Run the statement check after your first full statement. You'll see your real codes, not the ones you assumed. Example
  2. Put the desk calendar's dates in your calendar. Every deadline on this page, in one place. Example

A starting point, not legal, tax, HR or financial advice. State and local rules vary.

Playbook4 Example1 min

Growing: cash, cards and rails

When revenue climbs, the payment rails matter as much as the price.

Grab it →
  1. Use the card float on purpose. Time big buys right after your close date, and pay in full by the due date. Example
  2. Send big payments the fast way when it matters. Same Day ACH handles up to $1 million per payment. RTP and FedNow allow up to $10 million, if your bank does.
  3. Ask your bank about positive pay and ACH debit blocks. They stop the payments you didn't approve before they clear. Example
  4. Review card limits before peak season. A declined card at the supply house is a lost day. Example
  5. Re-map supplier codes when you add suppliers. New vendors mean new codes. Check the first statement after. Example

A starting point, not legal, tax, HR or financial advice. State and local rules vary.

Playbook1 Example1 min

Hiring your first people

One card rule for your first hire.

Grab it →
  1. Give employee cards limits from day one. Raising a limit is easy. Explaining a missing one isn't. Example

A starting point, not legal, tax, HR or financial advice. State and local rules vary.

Playbook6 Example1 min

Scaling: cards, controls and approvals

More people spending means more ways for money to leak. Seven controls.

Grab it →
  1. Separate approval from payment. The person who approves a vendor shouldn't be the one who pays it. Example
  2. Set per-person limits and category blocks where your issuer allows. Spending controls work best before the first surprise. Example
  3. Give each recurring vendor one card, with alerts. One place to look when a subscription changes. Example
  4. Reconcile weekly once volume grows. Monthly reconciliations hide problems for 30 days. Example
  5. Ask your issuer about corporate vs individual liability. It decides who owes the balance on an employee's card. Example
  6. Check your own merchant code when your mix changes. Visa says a code follows the line with the most sales, so a shifted mix can mean a new code.
  7. Train the team on bank-detail changes. Every change gets a phone call to a number you already had. Example

Card strategy gut checks

Five questions the desk asks every new client. Answer them honestly.

Grab it →
  1. If your biggest supplier stopped taking your card tomorrow, what would it cost you? A pending settlement could let merchants turn down business cards.
  2. Do you know the code your top five suppliers run under, or are you guessing? Rewards follow the code, not the item.
  3. Are you paying a 3% surcharge to earn 2%? Example: at 2 points a dollar worth a cent each, a 3% surcharge loses you 1% on every swipe. Example
  4. When did you last read your card's rewards terms? Categories and caps change. Your plan should too.
  5. If an issuer closed your card today, how many points would you lose? Points that sit unredeemed are a balance someone else controls.

Questions to think with, not advice. Examples are illustrations, not predictions.

Day-one gut checks

Three questions that separate a business from an expensive hobby.

Grab it →
  1. Could your accountant tell business from personal spending using your statements alone? If not, that's the first fix.
  2. Who besides you can spend company money, and how would you know? Controls are cheapest before the first hire.
  3. What's the one bill that could sink a month, and when does it land? Build your close date around it.

Questions to think with, not advice. Examples are illustrations, not predictions.

Gut check1 min

Growth gut checks

Growth eats cash. Four questions about where yours comes from.

Grab it →
  1. Is your growth funded by your customers, your suppliers or your card? Each one costs something different.
  2. What would a 30-day delay from your biggest customer do to payroll? Know the number before it happens.
  3. Do your early-pay discounts beat your card rewards? Run the math once per vendor.
  4. Which purchases could an employee card handle without you? Your time is the scarcest input.

Questions to think with, not advice. Examples are illustrations, not predictions.

Gut check1 min

Scale gut checks

Four questions for when you're no longer the only one spending.

Grab it →
  1. If an employee's card were misused today, how fast would you notice? Hours, days or a statement later?
  2. Does every recurring charge have a named owner? Orphan subscriptions renew forever.
  3. Is your merchant code still right for what you sell now? A changed mix can mean a changed code.
  4. Who signs off on a change to a vendor's bank details? If the answer is whoever reads the email, fix it this week.

Questions to think with, not advice. Examples are illustrations, not predictions.

Gut check1 min

Exit gut checks

Four questions before you hand over the keys.

Grab it →
  1. Which accounts, cards and points are in your personal name? Those don't transfer with the business.
  2. Would a buyer understand your card and vendor setup from the books alone? Clean books raise prices.
  3. What happens to points tied to business cards when they close? Spend or move them first.
  4. Who keeps the records after you leave? The retention clock keeps running.

Questions to think with, not advice. Examples are illustrations, not predictions.

What to say

Our words, not legal advice. The person on the other end may answer differently.

Script60-second

5 questions for your supplier

Read them at the counter. Most reps have never been asked, and the answers are worth knowing.

Grab it →
  1. "What category does your card terminal run under? Can you check the merchant code on your processor statement?"
  2. "Do you add a surcharge for cards? Is it the same at every location and for every card type?"
  3. "Is there a different price for paying by bank transfer, or for net terms?"
  4. "Does your online ordering run through the same terminal as the counter?"
  5. "Can my receipts show the item lines, not just a total?"

The questions are ours. Our words, not legal advice. The person on the other end may answer differently.

Script1 min

3 questions for your own processor

If you take cards, this is the call that tells you what your customers see.

Grab it →
  1. "What merchant code is my account set up under? Is it the same for every location and website?"
  2. "If I surcharge, is it credit only, under the cap, and on its own receipt line?"
  3. "If the Visa and Mastercard settlement is approved, will you let me choose which card categories I accept?"

The questions are ours. Our words, not legal advice. The person on the other end may answer differently.

Script30-second

When a supplier adds a card fee

Four polite questions that tell you whether the fee follows the rules.

Grab it →
  1. "Is that a surcharge or a convenience fee?"
  2. "Is it on credit only? It can't apply to debit."
  3. "Will it show as its own line on my receipt?"
  4. "What's the price if I pay by ACH instead?"

This follows the card networks' US surcharge and convenience fee rules. State laws can be stricter. Our words, not legal advice. The person on the other end may answer differently.

Script1 min

For your bank, about ACH and wires

Two questions that tighten how money leaves your account.

Grab it →
  1. "Can we add positive pay or ACH debit blocks?"
  2. "What are our limits for Same Day ACH, RTP and FedNow?"

The questions are ours. Your deposit agreement sets your actual protections. Our words, not legal advice. The person on the other end may answer differently.

Script30-second

For a client's accounts payable team

Three questions that get you paid faster and cheaper.

Grab it →
  1. "Do you pay vendors by card, ACH or check, and which is fastest for you?"
  2. "If it's a commercial card, do you need line-item detail on my invoices?"
  3. "What are your payment terms, and who approves invoices?"

The questions are ours. Commercial card payments with line-item data can carry lower card costs. Our words, not legal advice. The person on the other end may answer differently.

  1. One trip, five codes. Flights 4511, hotels 7011, cabs and rideshare 4121, rail 4112, rental cars 7512.

  3. If the travel agency charges you, it's 4722. Travel agencies and tour operators code as 4722, not as the airline or hotel.
  4. A short-term rental can be a hotel, to Visa. Visa's lodging code, 7011, includes short-term rentals of under 30 days.
